Title: service repair

what is the process to repair a steam engine? over 25 years old. I have already sent it in.

The odds are, you will not get your engine back but a replacement.  Bachmann will bill you.  Prices are on their "Service"  website and a not that expensive.

They didn't do that for me but that's another story....

If you pay the service fee you will probably be offered an analog 0-6-0 to replace it or possibly an analog 4-axle diesel or analog trolley.

Bachmann   replaced locos with new ones.  one a Rio Grand 262 and a Santa Fe 060 for $50.  Repair man called and gave me options by railroad name and wheel configuration also if I wanted steam or not.  Total time sent in old to getting new ones one month.  they did not send old ones back.  Well  done Bachmann.
